How to create an E-signature for Online Reservations

Getting Started:

  • To collect an E-signature from Online Reservations, you must add that option to the Online Reservation Confirmation letter template.
  • Go to Setup>>Front office>>Advanced>>Reservation Letters

  • The default letter templates window will open.
  • Select the Letter you plan to use for Online Reservation confirmation, or create a new letter by clicking the “Add Letter” button below the screen.

  • In the letter editor screen, place the cursor into the email body in which the E-sign is to be shown on the letter.
  • There are numerous custom tags will be listed in that drop-down.
  • In that select>>Merge Tags>>Reservation>>choose “E-sign.” Now the E-sign tag will be placed successfully in the template.

How to get an E-signature for PMS Reservations:

PMS will support three types of e-signature,

  • Topaz Signature pad integration.
  • E-Signature with smartphones and iPads.
  • E-Signature Email.

How to send an E-sign:

Get into any of the existing reservations>>Click on the Billing tab.

Scroll down the mouse, there are three buttons will appear.

  • Click on “Print/Email invoice/E-sign”.
  • Select the Invoice or Letter from the drop-down.
  • On this screen, there are 3 E-sign options:

1. E-Sign Topaz (need Topaz signature pad to be configured)

  • Click on any of the reservations, go to Billing>> Print/Email invoice/E-sign.

  • On the “Print Invoice” screen, under the “Invoice Type” field, choose any of the letters to send the guest.
  • Then, click on “E-Sign Topaz

  • Note: Make sure the E-Sign device has been installed and configured with the system.

Scroll down the page, there is a field called “Please sign here

  1. Click the “Start” button.
  2. Once the guest places the signature, it will be captured in that space.
  3. Then click on “Save.”

Now the e-signature will be captured successfully and it can be viewed under the Invoice and History tab of that respective reservation.

2. E-Sign iPad

Click on any of the reservations, go to Billing>> Print/Email invoice/E-sign.

  • On the “Print Invoice” screen, under the “Invoice Type” field, choose any of the letters to send the guest.
  • Then, click on “E-Sign iPad

  • Now, the selected letter will be displayed with a detailed description on the screen.
  • Scroll down the page, there is a field called “Please sign here

  • Guest will sign in this empty box, then “Save” it. Now the captured signature will be saved and it can be viewed under the “History” tab under the respective reservation.

  • Click on “Invoice Details”, and the guest-signed invoice window will appear on the screen.

3. E-Sign Email:

  • Click on any of the reservations, go to Billing>> Print/Email invoice/E-sign.

  • On the “Print Invoice” screen, under the “Invoice Type” field, choose any of the letters to send the guest.

  • Then, click on “E-Sign Email”, now the selected letter description has been displayed.
  • Click on the “Send” button.
  • This letter will be sent to the respective email address which is in the “To” field.
  • Now, the guest will receive the letter to his/her email address.
  • After opening the letter, the guest will see a line that says “Please click here to sign”.

  • Using the mouse, guests can sign manually on the screen and click on the “Save Signature” button.

  • This guest signature can be viewed under the “History page.”
  • Go to Reservation>>History, and you can see the details of the date, time opened and signed by the guest.

  • Click on “Guest Signature”, it opens the invoice letter window with the guest’s signature.
