Reservation Letter is used to create Email templates for guest communications. Unlayered provides an easy to use email editor for creating beautiful, customized templates quickly and easily. Hotels, and vacation rentals can easily send emails to their guests triggered by events like a booking or a check-in date. Use auto mail feature to schedule email booking confirmations, and automated messages before and after the guest’s stay.

How to create a new letter:

In Setup → Reservation Letter, click Add Letter to open the Letter Editor.

Now, “Reservation Letter” window will open. Scroll-down, click on “Add Letter”.

Create a letter in 2 ways:

  • Create a Letter with a Template.
  • Create a Letter without a Template

How to create a letter with a template:

  • Click the Templates Button located on the top of the Editor.
  • Choose any one of the pre-defined templates and edit it.

How to create a letter without a template: 

  • Click Add letter and the empty letter editor will open.
  • You can add multiple rows to the letter by clicking the Add Row button.

Features used to create a letter:

  1. Content
  2. Blocks
  3. Body

Content

  • The content area is used to add content to the body of the letter.

Columns

  • To create a letter, choose from multiple types of column designs available.

  • You can add a column by dragging and dropping the COLUMNS field from the left side Content field.
  • Once the column has been added to the letter, Click the “Add Content” button on the column.

Column Properties: 

  • Background Color – Select to change the background color of each individual column.
  • Padding – Select to provide the padding space between each column.
  • Border – Select to add the border for the columns.

Row Properties: 

  • Background Color – Select to add the background color for the entire row.
  • Content Background Color – Select to add the background color for the contents in the row.
  • Background Image – Select to upload image for the background for this row.
  • Padding – Select to provide the padding space between each row.

Heading:

  • To add a heading to your letter, click and drag Heading, and place it on the column.
  • Now, click and type on the area where Heading was added.

Text:

  • Drag and drop the TEXT field to the column and add content.

Editing Option:

  • Click on the added Text section to display the properties menu on the left side with the formatting options.
  • This will apply this style to the selected column.

  • Font Family – Select to change the Font Family for the letter.
  • Font Weight – Select to format the content to be bold or regular etc.
  • Font Size – Select to change the size of the Font.
  • Color – Select to change the Color of the text
  • Text Align – Select to change the Alignment of the text (left, right, center).
  • Line Height – Select to change the height of that content area.
  • Container Padding – Select to add padding space between other columns; for left, right, top, and bottom.

Editing Tool:

  • Place your cursor on any text block on the screen to show the editing tool.

This editing tool will be used to format the specific letter on the text field,

  • Formatting text – Bold, Italic, Underline, and Strikeout text.
  • Text and Background color for the Text.
  • Adding Subscript and Superscript.
  • Adding Lists.
  • Creating Tables.
  • Adding hyperlink.
  • Merge Tags:
    Merge Tags are used to insert custom fields to the letter template. These fields will merge data from the reservation when sending an email.

Image:

  • The image option is used to add the images to the body of the letters.

  • Drag and drop the Image content to the column, now click the added content, this will open the property window on the left side of the editor.
  • Click Upload Image, select the image from your local storage and upload.

Other available options:

  • Auto Width – By default, the image will be auto-adjusted based on the column size if you want to resize the image, click Auto width and adjust the dragger to resize the image size.
  • Align – Align will be aligning the image as Left, Center, Right, and Justified.
  • Image Link – You can provide the hyperlink to the image, so once the guest clicks the image it will redirect to the link you provide here.

Button:

  • Use the button option to add a hyperlink to the email.

Action:

  • You can customize the action of the Button to Open a Website, or Send an Email, or Call a Phone Number.

Button Options:

Use any of the following editing options to customize your email template design.

  • Text Color
  • Background Color – Allows you to change the color of the Button.
  • Auto Width – By default, the image will be auto-adjusted based on the column size if you want to resize the image, click Auto width and adjust the dragger to resize the image size.
  • Font Family – Select to set the font type
  • Font Weight – Select to format the content to be bold or regular etc.
  • Font Size – Select to change the size of the Font.

Spacing:

  • Line Height – Select to adjust the line space for the text inside the Button.
  • Padding – Select this option will provide padding space between the button and column, You can provide the padding space for left, right, top, and bottom.

Border:

  • Border – Select to add the Border to the Button.

Rounded Border:

  • All Sides – Increasing the px values will apply the rounded edges to the Button.

HTML:

  • You can create the content using the HTML tags
  • Drag the “HTML” tool and click on the box, on the left side, “HTML” page will appear.
  • Here, you can type the content as an HTML code.

Menu:

A menu is a series of linked items that serve to navigate between the different pages or sections of a site from the letter.

  • Click and drag the “Menu” tool, in which the option is to be placed

  • Click on the selected area, Now, the “Add Menu Item” window will appear on the left side.
  • Create a name for the Item.
  • For Example: if you are listed the links in this section. Name it as “Links”
  • Under the “Action Type” provide the URL link address.
  • Under “Target”, choose from the drop-down on which window this link is to open.
  • By Clicking the “Add New Items” it creates another section.

Mobile View:

  • Click on the Mobile Icon to check how the letter will displayed on the mobile view.

Blocks:

  • This tool can perform both adding and segregating the section at the same time.
  • Click on “Blocks”, choose, and drag the blocks into the content area.

Body:

The body section will show the whole letter formatting properties.

  • This “Body” section contains, various editing options like:
  • Text Color, Background Color, font height, alignment, width, etc.

Preview:

  • Click on the “Preview” button on the top or you can click the “Eye” icon at the bottom of that content page.
  • You can preview the created letter in 3 modes.
  • Click on the “Desktop” icon.

Desktop Mode:

Table Mode:

Click on “Tablet Icon” (2nd Icon)

Mobile Mode:

Click on the “Mobile” icon (3rd Icon).

  • After reviewing the letter, click on “Exit Preview” to come back to the editor screen.
  • Once finished, click on “SAVE
  • Now, enter the “Letter Name”, and Letter Description, submitted by” details, and SAVE it.
  • The newly created letter will be successfully saved and displayed under the “Reservation Letter”.
