Shift4 Payment Processing – User Help Guide

Shift4 uses two separate applications for payment processing:

  • UTG (Card Present): Used when the guest's card is physically presented and processed through the payment device.

  • ECommerce (Card Not Present): Used when card details are entered online or manually typed and processed without the physical card.


Gateway Configuration & Authentication


Configuration Route: Setup → Credit Card Setup


Select Shift4 Gateway and enter the required authentication details for the UTG and ECommerce applications.


Authentication

Auth Token: The authentication token provided for Shift4.

Token Generation: GraceSoft validates the configured Shift4 credentials and generates a system Access Token. This token is used to securely authorize payment requests.


Card Present Transactions – UTG

Card Present transactions are processed through the Shift4 UTG device.


Process a Payment

  1. Create or open the reservation in the PMS.

  2. Select Swipe to Pay as the payment account type.

  3. Save the reservation.

  4. Go to Billing.

  5. Select the appropriate payment account code, such as Visa Card Payment or another card type.

  6. Click Process.

  7. The payment request will be sent to the Shift4 UTG device.

  8. The guest can then present their card on the device and complete the transaction.

Important: The Card Number field must be empty when processing a Card Present transaction through the device.


Subsequent Payments Using the Same Card

After a successful Card Present payment, Shift4 securely stores a payment token for the card.

When another payment is processed for the same card:

  • The saved token can be used for the transaction.

  • The payment information can be sent to the UTG device.

  • The physical card does not need to be presented again when the saved token is used.

Refunds

Refunds can also be processed through the same Shift4 UTG setup.

  1. Initiate the refund from the PMS.

  2. Enter or select the refund amount.

  3. The refund request is sent to the Shift4 device.

  4. The user must accept/confirm the transaction on the device.


Note Payments are considered as the UTG payments when the Account code on the Reservation page is set to "Swipe to Pay"


Card Not Present Transactions – ECommerce

Card Not Present transactions are processed through the Shift4 ECommerce application. These transactions do not require the physical card to be present.


Easy InnKeeping PMS

  1. Create or open the reservation in the PMS.

  2. Select the appropriate card type/account code.

  3. Enter the card details securely through the TokenEx iFrame.

  4. Save the reservation.

  5. Process the payment from the PMS.

  6. The payment request is sent directly to Shift4 ECommerce for processing.


Easy WebRez / GuestHub

  1. Create or open the reservation through Easy WebRez or GuestHub.

  2. Select the appropriate card type.

  3. Enter the card details securely through the TokenEx iFrame.

  4. Click Complete.

  5. The payment is processed through Shift4 ECommerce.


OTA Reservations

For OTA reservations:

  1. The reservation is created or modified through the OTA.

  2. The OTA sends the Virtual Card Number to the PMS.

  3. The Virtual Card Number is securely tokenized through TokenEx.

  4. The payment can then be processed directly from the PMS through Shift4 ECommerce.

Important: UTG is used for physical card/device transactions, while ECommerce is used for card-not-present transactions. The appropriate Shift4 application is selected automatically based on the payment flow.
