The Calendar shows a list of all the units in your property and all reservations for the current date range selected.
Viewing Calendar Screen:
The calendar screen can be viewed in two ways:
- By Room Name
- By Room Type
Room Name View:
- On the calendar screen, go to the top right corner, and choose “Room name.”
- Now, you can see the left side of the calendar screen displayed in the Room name view.
Room Type View:
- On the calendar screen, go to the top right corner, and choose “Room Type.”
- Now, you can see the left side of the calendar screen displayed in the Room Type view.
Types of Calendars:
There are 5 types of calendars.
- Weekly Calendar
- Monthly Calendar
- Detailed Calendar
- Hourly Calendar
- Rate Calendar
Weekly Calendar:
- On the calendar screen, the weekly calendar is the default view.
- Click on the drop-down, and choose “Weekly,” it displays a period of 14 consecutive days (2 weeks).
Monthly Calendar:
- On the Calendar Screen, click the drop-down and choose “Monthly.”
- Now the calendar screen displays the 30 consecutive days from the selected date.
Detailed Calendar:
- On the Calendar Screen, click the drop-down and choose “Detailed.”
- It displays the detailed information of that reservation, like reservation number, no. of guest, amount to be paid., if the booking is made on that corresponding date.
Hourly Calendar:
- On the Calendar Screen, click the drop-down and choose “Hourly.”
- Now the window displays the calendar with hourly rooms (meeting rooms) in the left panel and a 24-hour timeline in the top row of the calendar grid.
- This hourly calendar can be viewed in 2 ways. Go to the top right corner, and select “Dates” to display Dates along the top row.
Click on “Show Daily Calendar”, and it will go back to the regular or daily calendar screen.
Calendar View and Navigation:
To navigate different periods on the calendar, please select the specific months, days, and years by clicking the date picker in the top left corner.
- To set your preference for Room Type, or Room Name view, Go to Setup>>Front Office>>Basic>>Default Settings.
- A new window opens, scroll down the page>>go to “Page Settings”
- To change the Calendar View, click the drop-down menu and choose “Room name” or “Room Type”.
- You can set the Monthly calendar, Room Type calendar, or Hourly calendar as your Default home page.
Sorting the Calendar:
- You can define how Rooms or Room types are sorted on the Calendar.
- By default, the calendar sorts the room names or room types in alphabetical order.
- Go to Setup>>Front Office>>Basic>>Default Settings.
- A window opens, scroll down the page>>go to “Chart Settings”
- The “Display Charts by”, option is used to display the calendar by either the room names or room numbers.
- The “Sorts Charts by”, option is used to sort either by room name or room number, in which the setup has been done under the “Unit Setup” area.
- To define the sorting order, go to the “Unit setup” area, and click on any of the unit names.
- There is a field called, “Room No”, here enter the order number, so that it is displayed in the calendar according to the number.
- For Example, if “Room A” is to be displayed in the 5th place, under this unit name, set the room number as “05”, so that it is displayed in the 5th place.
Assign housekeeping status to vacant rooms
- Click on any empty cells on the calendar to change the housekeeping status.
- A pop-up will open, click on “Housekeeping”.
- Choose the housekeeping status (Dirty, Clean, etc.) from the drop-down list.
- To remove Housekeeping status click on Clear.
- Click on the Save
Block rooms on the calendar screen
Single Block:
In order to block a single room, click on the cell, and click “Block.”
- On the Block Rooms screen, the selected cell date and room name display.
- To Block multiple rooms, click the check boxes next to the room name.
- To Block for multiple dates, enter the range of dates in the ‘Start date – End date’
- Then Click on “Block”
Unblock rooms from the calendar
On the calendar screen, click on any blocked cell, and a pop-up window will appear.
- Click “Select All”, to unblock all rooms, or to unblock a single room.
- Under Start Date and End Date choose the date range.
- Click on “Unblock”.
