Housekeeping - Setup & Assigning status to the room

Housekeeping 

Use the Housekeeping module to track and update the status of each room to dirty, clean, or vacant and assign housekeepers from a single page. The Housekeeping module is included in the Advanced and Premium packages.

How to add a staff

  • On the Easy Inn Keeping, go to Setup>>Front Office>>Employee>>Staff List.

  • Staff List window will appear. Click on the “Add” button to create a staff name.

  • The Front Office Staff window will appear.
  • Enter the staff name, login name, password, Access level (according to the staff designation, you can set which module should be accessed by that staff), email address, and contact no, and fill in whatever field is required.
  • Click the “Save” button.

  • Now the added staff name can be viewed under the staff list screen.

How to set the access level for housekeeping

  • Go to Setup>>Front office>>Employee>>Access Level, an access setting window will open.

  • Click on either the edit icon or the access rights
  • For housekeeping, there are 2 types of access levels, either you can provide the staff with full access or partial access.
  • Modify: If this part is enabled, the staff can able to modify or change the status of both assigned and non-assigned rooms.
  • View: If this part is enabled, the staff can only able to view their assigned rooms and can’t make any changes to them.

Housekeeping Room Status

To view or update housekeeping status, use the filter options provided:

  • All– By default the “All” option will display housekeeping status for all the rooms in the property.
  • Dirty & Unassigned– This will display rooms that are dirty but not assigned to be cleaned yet by the housekeeper.
  • Dirty, Clean, Vacant– Click on any of the options to display the room list. A new status of user-defined custom status can also be created and it can be applied to the room and filtered.

Steps to add new room status:

  • To add the new “housekeeping status”, go to setup>>Front office>>Advanced>>Room Status, and a pop-up window will open.
  • Click on “Housekeeping status”.
  1. Enter the “Status Name” to which you would like to add the room status name.
  2. Choose the Color and save it.

  • The newly added status saved successfully.

Housekeeping tab – This will display housekeeping status for all rooms, regardless of whether rooms are scheduled for arrival, departure, or stay-overs.

Arrival tab – This will display housekeeping status only for rooms with arrivals scheduled for the day. This will help to see whether all rooms are cleaned before the guest checks in.

Departure tab – This will show the rooms scheduled for departures that day. There is an option to automatically change a room status to dirty when the guest checks out.

Stay over tab – This displays the rooms where guests are staying over until the next day, for properties that do either daily or scheduled cleanings for in-house guests.

Housekeeping Activity tab – Here you can view the activities of the housekeeping for the respective housekeeper.

To change housekeeping status and assign staff

  • After selecting tabs and filters, the Housekeeping Status can be updated and staff can be assigned.

  • Housekeeping Status – This dropdown, will show the current housekeeping status. Select from the drop-down list to change the status.

  • Assign Staff – In this dropdown, it will display staff members that have housekeeping access. These staff are created in (Setup >> Front Office >> Staff List) with the access level (Setup >> Front Office >> Access Levels) enabled for housekeeping.

How to make bulk updates:

  • To change status on multiple rooms; click on the checkbox for each row or select all checkbox to select all rows.
  • Select Housekeeping status and/or staff by choosing it from the dropdown at the top right.
  • Save your changes.

How to assign housekeeping status from the calendar:

  • Housekeeping status can be updated from the calendar.
  1. On the calendar, click on the empty cell or on any existing reservation.
  2. A small window popped up, click on the “Housekeeping” button.

  1. Now another window opens, choose the room status (dirty, clean, vacant), etc., and the Room Notes if necessary, and click on the “Save” button.
  2. Go to the calendar, you can see the (dot) on the reservation, this means housekeeping has been assigned to that room.

How to remove the housekeeping status on the calendar screen:

  • Go to the calendar, click on any existing reservation and that reservation should assigned for housekeeping.
  • A small pop-up window will appear, click on ‘Housekeeping”
  • From the drop-down, choose the “Clear” option and press the “Save” button.

  • On the calendar screen, you can see that the “Dot” was removed from that reservation.
