Self Service Onboarding Pre-Fill URL 

  • Here are the instructions to Pre-Fill the Self-Service Onboarding link with "Gracesoft-Easy InnKeeping" as the chosen PMSC as well as the PM’s AdvertiserID on behalf of the PM.
  • You can use this link to choose the GraceSoft as an channel manager.

 

  1. Go to Setup >> OTA Settings >> OTA Connectivity >> Choose "VRBO" from the OTA drop down.
  2. Under "VRBO Rooms Additional Details Required", VRBO URL field contains the predefined link, which leads to the VRBO landing page, where the property owner can directly login to the VRBO account and choose the "connectivity partner" as GraceSoft.

Mapping Rooms to VRBO

Goto setup -> OTA Settings -> OTA Connectivity -> Select OTA -> VRBO.

Choose the room that you want to map, Provide the room name that needs to be displayed on VRBO, verify the included occupants, and roomtype max.Occupancy and click Add.

  • Room type that is available on Easy Innkeeping.
    Note: Each Room Type should have only one room configured.
  • Provide the Room Name that needs to be displayed on VRBO.
  • Click the Add button.

  • Once the Room Type has been added, if there is no issue with Occupancy mismatches the Status will show with the Green Tick symbol, and the Action button will be replaced from Add to Edit/Delete. Repeat the same action for adding more room.

Note: Dont send settings or availability now.


Configure Rooms for VRBO:

  • Goto Setup -> Front Office -> Room Types. 
  • Locate and Open the Room type and do the following as listed.

Upload Image:

For VRBO, Images are mandatory to be uploaded in below conditions:

  • A minimum 6 images need to be uploaded,
  • The resolution for the image needs to be a Minimum 1024 x 683
  • image size needs to be less than 2 MB.

If any existing images are present on the Room Types, Please right-click on the images, and save the images locally, now remove those images, We are doing this process because, we are not validating existing available images, so it was giving an error in the validation stage.

Once removed now add the new images, this condition is only for vrbo mapping room types. 

VRBO Settings:

Once the images are uploaded, scroll down to the same page click the VRBO settings, and fill in the required field.

  1. Property Type: define your stay type.
  2. Bathroom Type: Define the bathroom and its type associated with the room.

Choose the Bathroom Type and Sub Bathroom Type, if you have multiple rooms click Add and make the selection again.

3. Bedroom Type: Choose the Bedroom and its type associated with the room.

Choose the Bedroom Type and Sub Bedroom Type, if you have multiple rooms click Add and make the selection again.

  1. Amenities: Choose the list of amenities available in your room type.
  2. Latitude: Provide the latitude of your property.
  3. Longitude: Provide the longitude of your property.
  4. Address: Provide the valid address of the Property.
  5. Area (Sq. ft.): Define the room type area in square feet.
  6. Address2: Optional address field.
  7. City: Provide the property located city name.
  8. State: Provide the property located state name.
  9. County: Choose the Country of the Property is located.
  10. Zip: Provide the property’s zip code.
  11. Minimum Age: Provide the minimum age for the Guests allowed to book for the stay.
  12. Pets Allowed: Define whether the room is pet-friendly or not.
  13. Children Allowed: Define whether the room is adult-only or kids are allowed to stay.
  14. Smoking Allowed: Define whether the room is Smoking allowed or not.
  15. Events Allowed: Define the Room that is allowed for the Guests to have the event.
  16. Headline: Provide a Headline for the room description.
    Min 20 and Max 80 characters allowed.
  17. Description: Describe the room.

Min 400 and Max 10000.

Once all the required fields, click the save button located at the bottom of the page.

VRBO Rooms Additional Details Required:

Cancelation Policy:

Select one of the following cancellation policies, for each of your listings:

  • No Refund: No refund allowed.
  • Strict:100% refund 60 days before check-in; no refund after 60 days.
  • Firm: 100% refund 60 days before check-in; 50% refund 30-60 days before check-in.
  • Moderate: 100% refund 30 days before check-in; 50% refund 14-30 days before check-in.
  • Relaxed: 100% refund 14 days before check-in; 50% refund 7-14 days before check-in.
  • Custom: You can override the cancellation policy and refund the custom The custom amount must be at least the amount due according to your cancellation policy.

Max Allow Guest: Enter the Maximum allowed guest count.

Child Maximum Age: Enter the maximum age to calculate the rate for Extra person charge for Adult and Child.

Max Allow Adult: Enter the Maximum allowed adult count (it should not exceed the Guest count).

Minimum Age: It needs to be 18 in default.

Select Payment forms, Credit Card and Debit Card.

Select Check in and Check Out time for the reservation.

Select Children Allowed, Events Allowed, Smoking Allowed and Pets Allowed.

Send Availability:

Now Goto setup -> OTA Settings -> OTA Connectivity -> Select OTA -> VRBO.

Click the Send settings button.

VRBO Things to Know:

  • Whenever you make a rate change, always push the availability on the OTA settings -> VRBO.
  • VRBO never processes the payments, they will send the payment formation along with the reservation, the user needs to make a payment in the PMS.
  • Cancelling the reservation on the PMS will automatically cancel the reservations on both PMS and VRBO.
  • Confirmation emails need to be sent manually from the PMS.
  • Changing the Image, Descriptions, Heading, Amenities… will take 24 hours to get updated on the VRBO.
  • Never delete the reservations.
  • Refund for the reservation will be issued based on the percentage set on the OTA settings page.
  • A 5% commission fee is charged on the rental amount and any additional fees you charge the traveler (such as cleaning, pet, and boat fees).
  • Guests are charged 6% to 15% of the service fee of the subtotal (minus taxes)
    Note: The service fee amount varies.Generally, the higher the reservation amount, the lower the percentage of the service fee. A value-added tax is charged on top of the service fee, if required by local regulations.
