Hourly Reservation

Overview:

With Hourly Stays, the option to book the rooms for hours as per the requirement and have the flexibility to select a check-in time and check-out time based on the guest’s preference.

HOW TO CREATE HOURLY ROOMS AND RATE TYPE FOR THE HOURLY RESERVATION

  • For hourly booking, need to create the hourly rate in the rate setup.
  • Goto Setup>>Basic>> Select Rate Setup and a window will pop out.
  • Scroll down the page, click the “Add Regular Rate,” and another window pops out.

  • Under the Rate Type choose “Hourly” from the drop-down list.
  • Then give Rack Name, Rack Rate, and Description, then click the “Save” button.

How to create hourly rooms:

Goto Setup>>Basic>>Unit Setup, Click on the Room name, and a new window pops out.

  • Room Type: it should be set as “MEETING ROOM”, This is a default room type that needs to be chosen for Hourly rooms. This is only for the hourly reservation.
  • Room Name: Assign the respective room name which was created for the hourly bookings.
  • Rate Name: Assign the created Hourly “Rate Name”.
  • Show in Regular Chart: If the hourly rooms want to show in the regular calendar, enable the “Yes”, or else mark it as “No”.
  • When the “Next Day” field is set to “Yes”, the room will be allowed to be reserved for 24 hours or more,
    If the room doesn’t accommodate a 24-hour stay, you can define the start time and end time, and based on that PMS will allow you to make the reservations.
  • Minimum Time Interval: If a reservation needs to be reserved for a minimum of specific hours then it needs to be updated here, For ex, if the room has a minimum time interval of 1 hour and you try to make a reservation for 30 minutes then the application won’t allow you to reserve.

How to access hourly reservation:

  • THROUGH CALENDAR TAB

  • THROUGH RESERVATION TAB

Through Calendar Tab:

  • Click on the “Calendar” tab, and a calendar window will appear.
  • On the top right-hand side, click on that drop-down box, and choose “Hourly.”

  • The hourly calendar displays the rooms in columns and the hours in rows.

  • Another way of viewing the hourly calendar is, on the top right corner, by changing the mode button from “Room” to “Dates.”

How to make the hourly booking through the calendar:

  • Goto Calendar tab>> Select the drop-down and choose “Hourly”, hourly calendar opens.
  • Choose the date.
  • Click on the grid and drag it on the appropriate room and appropriate hours (Check-in and Check-out time).
  • A window pops out, Click the “New Reservation”.

  • On the reservation page, the selected rooms and times will fed into the respective fields.
  • Enter the guest details and click the “Save” button.
  • Multiple reservations can be made by clicking the “Add Another Room”.

Through Reservation Tab:

  • Hourly reservations can be made through on Reservation tab on the PMS page.
  • Goto Reservation>> Click the Add button, and a reservation window pops out.

  • Click the drop-down box and choose the “Hourly.”
  • Enter the date, room, rate type, start time, end time (hours will calculated automatically based on the start time and the end time), no.of. guest, guest info and click on “Save.”

Tracking the hourly bookings through reservation tab:

  • Go to the Reservation tab>> On the top right corner there is a field “Reservation Type”.
  • Drop-down menu, choose “Hourly.”
  • The Hourly reservation is listed on the screen.

Retrieving the hourly reservation reports:

  • Goto Reports>>Reservation>>Hourly.
  • Reports can be generated based on the selection of the query or conditions like date, and reservation status.
  • Click the “Show” button.
