Overview:
The purpose of this document is to define the requirements for implementing the Shared or Split Reservation functionality within the hotel booking system. This feature aims to enhance reservation flexibility by enabling hotels to manage bookings that involve multiple guests under a single reservation (Shared Reservation), or to divide a reservation across different parameters such as room nights, guest names, payments, or folios (Split Reservation). The goal is to improve operational efficiency, billing accuracy, and guest experience in scenarios involving group stays, partial check-outs, or individual payments.
Step 1: Create a Reservation
Navigate to Calendar or Reservation List.
Click New Reservation.
Step 2: Set Reservation Type
At the top of the reservation screen, change the Reservation Type to Shared.
- Once the reservation type is set to "Shared", the "Add Guest" field will automatically appear next to it.
Step 3: Add Reservation Details
Enter the Dates and select the Room.
Fill in Guest Details, Payment Info, then click Save.
Now the first guest was added successfully and it was reflected under the "add guest" field at the top.
Step 4: Add Additional Guests
On the same reservation, at the top, next to the Reservation Type, click on the first guest name, Add Guest to include another guest sharing the room.
- Repeat this step to add multiple guests for the same room.
NOTE: Each added guest will have their own individual reservation record, but all share the same room.
Step 5: Shared Guest View
On the reservation screen, under the Add Guest section, you can easily switch to the Shared Guest Window to manage shared guest details.
Calendar View
Go to the Calendar.
Shared room reservations will appear under the name "Multiple".
Hovering over the reservation will display individual guest details.
Reservation List View
Go to the Reservation List.
Filter by Reservation Type: Shared.
Each guest appears as an individual reservation with a unique reservation number — even though they share the same room.Note: In the list view, shared reservations are not grouped as "Multiple" like in the calendar.
Billing Page
Each shared guest has an individual billing record.
Separate invoices are generated.
Each guest can pay their bill independently.
